As a complex organization with many on-going activities and events, from time to time Sheridan may need to preserve certain documents or communications in the event of legal requests or potential/anticipated litigation arising from isolated incidents.
When it becomes reasonable to do so, Sheridan is obligated to preserve all relevant Records (as defined in the Records and Information Management Policy. Accordingly, the Office of General Counsel has developed the Legal Hold Procedure. This procedure will ensure that Sheridan takes the necessary actions required when we become aware of any potential litigation, investigation, audit or other type of legally enforced discovery request.
The Legal Hold Procedure outlines:
- Who to notify if you become aware of anticipated and/or potential litigation
- How the Legal Hold is issued
- What to do if you receive a Legal Hold Notice
- How the Legal Hold is terminated
- What to do with the preserved records
The procedure provides a consistent approach for communicating Legal Hold, preserving relevant records and preventing the destruction of these records pending the final resolution of the legal matter.
All Administrators, Faculty and Staff should familiarize themselves with the Legal Hold Procedure.
