Privacy Guidelines for the Use of Instant Messaging and Personal Email Accounts

Sheridan’s Acceptable Use Policy requires that “All employees will only use their Sheridan e-mail addresses for email correspondence”.

Please ensure that you do not use personal email accounts or text messages for any Sheridan business purposes.

 

Overview

The Office of the Information and Privacy Commissioner (IPC) of Ontario has released guidelines regarding the use of instant messaging and personal email accounts to conduct business. Sheridan’s Acceptable Use Policy currently provides that “All employees will only use their Sheridan e-mail

addresses for email correspondence”. The IPC guidance document outlines appropriate conduct regarding the use of instant messaging and personal email accounts for any employees of institutions subject to the Freedom of Information and Protection of Privacy Act (FIPPA). As Sheridan is bound by FIPPA, all employees are expected to comply with the regulations.

What are instant messaging (IM) tools?

Examples of instant messaging tools can include the following:

  • Text messages (SMS or MMS)
  • Blackberry Messenger (BBM)
  • Internal instant messaging (such as MS Lync)
  • Online instant messaging (such as WhatsApp, Facebook Messenger, Viber, etc.)
  • All other real-time messaging applicationsmessage boxes
