New Absence Reporting Process for Full Time Employees

This is the first of a series of communications regarding the New Absence Reporting Process that will replace the current Absence Summary Process for full-time employees.  The new process will enable employees and managers to better coordinate and manage absence requests such as vacation & illness, as well as overtime & lieu time requests (for full-time Support Staff).


Background

Sheridan has recently upgraded its PeopleSoft Human Resources Management (HCM) system to version 9.2.  This upgrade has provided additional functionality that will allow better access to information and workflow while enhancing efficiency, validity and integrity with regard to employee absence information.  The intent is to retire the current Absence Summary process and enable employees/managers to utilize PeopleSher HR to request/review/manage and approve absences, while reducing the manual processes internally within the departments/faculties, Human Resources and Payroll.


When will this happen?

The new Absence Reporting Process is expected to go-live in Spring 2017.


How will this impact me?

  • Full time employees will need to initiate an absence request through Self Service in PeopleSher HR which will be forwarded to their manager. A benefit of the new process will be the ability to review their vacation, sick and lieu time balances online and forecast their balances.
  • Managers will be able to approve, request a change & re-submission or deny the absence request after reviewing their department’s schedule or the individual’s vacation, sick and lieu time balances.
  • Approved absence requests will automatically be processed.
  • Overtime requests, lieu time balances and lieu time days taken will be tracked and managed.
  • The introduction of the new Absence Reporting functionality will likely impact current internal processes and the amount of change will vary by department or faculty.

To help prepare for the upcoming changes, we are developing training strategies as well as recommendations for new internal processes to ease the transition.  The data currency of the illness, vacation, and lieu time balances is integral to the success of this project and we will provide more information in the future on how to ensure these balances are up to date.
